Coming off old VAT software onto a cloud ledger — without the pain

A lot of organisations aren't on old software because they love it. They're on it because it works, the switch feels risky, and nobody wants to be the one who broke the VAT return. If you run something genuinely awkward — a margin scheme, partial exemption, TOMS — that caution is rational. Those are the calculations a generic cloud ledger doesn't handle, so "just move to Xero" has always felt like trading one problem for another.

Two things have changed that calculus.

First, Making Tax Digital keeps tightening. MTD for VAT already requires digital records and digitally-linked submissions for every VAT-registered business. The direction of travel is one way, and desktop packages and manual spreadsheets sit increasingly awkwardly against it.

Second — and this is the part that removes the actual blocker — the awkward schemes are no longer the reason to stay. A cloud ledger handles the everyday bookkeeping; a specialist layer handles the scheme calculation and posts the result back as a journal. You get the modern ledger and the compliance, without choosing.

What a clean switch looks like

You don't have to move everything in one weekend. The order that tends to go smoothly:

  1. Get the cloud ledger in first, running the day-to-day. Bank feeds, sales, purchases.
  2. Bring opening balances and recent history across and reconcile — bank, debtors, creditors — until there are no unexplained differences.
  3. Layer the scheme calculation on top. This is where OneSixth sits: it reads the relevant transactions, runs the margin scheme or partial-exemption or TOMS calculation, and posts the VAT journal back to the ledger with working papers attached.
  4. Run one period in parallel if you want the reassurance — old method and new, side by side, once.

This isn't only an accountant's concern. A charity coming off a creaking desktop package, or a small business that inherited a spreadsheet nobody fully understands, gets the same thing: a current system and a defensible audit trail.
